Templates let you standardize recurring work. A template stores the fields of a work order — title, description, priority, type, category, asset, location, assignees, procedure, and estimated hours — so recurring jobs are created consistently in seconds.

When to use templates

  • Recurring corrective jobs (for example, “Reset tripped breaker — Panel B”)
  • Standard inspections with an attached checklist from Procedures
  • Common tenant issues like light replacements or door adjustments
  • Any job where you want consistent categories, priorities, and estimates for clean Reports

Create a template

Open template settings

Go to Work Orders and open the Templates section.

Create a new template

Click + New Template and fill in the fields you want prefilled: title, description, priority, type, category, asset, location, assignees, an attached procedure/checklist, and estimated hours.

Save the template

Name the template clearly (for example, “AHU Filter Replacement — Building A”) and save it.
Leave fields blank in the template when they change per job (for example, due date). Prefill only what is truly standard.

Start from the template

When creating a work order, choose From Template and select the template from the list.

Review and adjust

The form opens with the template’s fields prefilled. Adjust anything specific to this instance — due date, extra notes, attachments.

Create

Click Create. The work order behaves like any other from this point on.

Prefill via QR code

Each template can generate a QR code. When scanned with the mobile app, the QR code opens a new work order prefilled from the template — ideal for codes posted directly on equipment or in mechanical rooms.

Generate the QR code

Open the template and click Generate QR Code. Download or print the code.

Post it at the point of work

Attach the printed code to the equipment or area the template applies to.

Scan to create

A technician scans the code with the mobile app, reviews the prefilled work order, adds photos or notes, and submits — no searching for the right asset or category.

Template QR codes create work orders and are for your internal team. For intake from tenants and occupants without accounts, use the public request form instead.
