Why preventive maintenance
- Fewer breakdowns — routine servicing catches wear before it becomes failure and unplanned downtime.
- Longer asset life — well-maintained equipment lasts longer and holds warranty coverage that often requires documented service.
- Predictable workload — recurring work is visible in advance on the PM calendar, so you can balance it against reactive work.
- Compliance evidence — completed preventive work orders create an auditable maintenance history on each asset.
How PM schedules work
A PM schedule combines what to do, on what, how often, and by whom:- Name — what the recurring task is, such as “Quarterly AHU Filter Change”.
- Frequency — how often it recurs: Daily, Weekly, Biweekly, Monthly, Quarterly, Semi-annually, or Annually. See Frequencies.
- Linked asset — the asset the work is performed on.
- Linked procedure — an optional procedure checklist that technicians follow step by step.
- Assignees — who the generated work orders are assigned to.
- Last completed / Next due date — tracked automatically as work is completed.

Automatic work order generation
When a schedule’s next due date arrives, FacilityLane generates a work order of type Preventive, linked to the asset, carrying the attached procedure, and assigned to the schedule’s assignees. Technicians complete it like any other work order — on web or mobile — checking off procedure steps as they go. When it is completed, the schedule’s last completed date updates and the next due date advances by the frequency.
A preventive work order generated automatically from a PM schedule
Generated preventive work orders appear alongside reactive work in your normal work order queues, clearly marked with the Preventive type.
