If you are migrating from spreadsheets or another CMMS, the bulk CSV import is the fastest way to bring your asset register into FacilityLane. You upload a CSV file, map its columns to FacilityLane fields, review, and import.

Prepare your CSV file

Export your assets to a CSV file with one asset per row. Include a header row with column names. The import supports the standard asset fields:
When importing a hierarchy, order the file top-down — buildings first, then floors, systems, equipment, and components — so each parent exists before its children reference it. Alternatively, run separate imports per level.
Clean your data before importing. Duplicated asset numbers, inconsistent category names, and mixed date formats are the most common causes of failed rows.

Start the import

Go to Assets and choose Import. Upload your CSV file.

Map your columns

Match each column in your file to a FacilityLane asset field. Columns with recognizable headers are mapped automatically; adjust any that were not detected and leave unneeded columns unmapped.

Review the preview

Check the preview of how rows will be imported. Confirm statuses, dates, and parent assets look correct before continuing.

Import

Run the import. When it completes, FacilityLane shows how many assets were created and lists any rows that failed.

Fix import errors

Rows that fail validation are reported with the row number and the reason. Common issues and fixes:
Another asset — in the file or already in FacilityLane — uses the same asset number. Give each asset a unique number and re-import the corrected rows.
The status value must exactly match one of the four asset statuses. Fix spelling variations like “In Repair” or “OOS”.
The parent asset number does not exist yet. Import parents first, or correct the referenced asset number.
Purchase date or warranty expiry could not be parsed. Use one consistent date format for every row in the file.
Correct the failed rows in your CSV and import just those rows again — successfully imported assets do not need to be re-uploaded.
