A PM schedule tells FacilityLane what recurring maintenance to perform, on which asset, how often, and by whom. Once saved, the schedule automatically generates work orders of type Preventive each time it comes due.

Before you start

Have these ready so the schedule is complete from day one:
  • The asset the maintenance applies to.
  • A procedure checklist for the task, if you want technicians to follow structured steps. You can build one or generate one with AI.
  • The technician or team who should receive the generated work orders.

Create a schedule

Open the new schedule form

Go to Preventive Maintenance in the main navigation and click New PM Schedule.

Name the schedule

Enter a name that describes the task and cadence, for example “Monthly Generator Load Test” or “Quarterly AHU-02 Filter Change”. Clear names make the PM calendar easy to read.

Choose the frequency

Select how often the work recurs: Daily, Weekly, Biweekly, Monthly, Quarterly, Semi-annually, or Annually. See Frequencies for guidance on choosing.

Link the asset

Select the linked asset the maintenance is performed on. The generated work orders inherit this asset, and completed work appears in the asset’s maintenance history.

Attach a procedure

Select the linked procedure technicians should follow. When a preventive work order is generated, the procedure’s checklist is attached, and technicians complete it step by step on web or mobile.

Assign the work

Add assignees — the technicians or supervisors who should receive each generated work order. Assignees are notified when a new preventive work order is created.

Save the schedule

Click Save. The schedule’s next due date is set, and it appears in the PM calendar and table views. From now on, work orders are generated automatically when due.

Tips for effective schedules

Create one schedule per asset rather than one generic schedule for many assets. Per-asset schedules keep maintenance history accurate and let you tune frequency to each machine’s condition.
The schedule tracks last completed and next due date automatically: completing the generated work order stamps the last completed date and advances the next due date by the frequency. You do not maintain these fields by hand.
If a schedule has no assignees, generated work orders arrive unassigned and can sit unnoticed in the queue. Always set at least one assignee, or make triaging unassigned preventive work part of a supervisor’s routine.
