You can create work orders from the web app, the mobile app, the LAYLA AI assistant, a QR code that opens a prefilled template, or by converting an approved Request.

Create a work order on the web

Open the create form

Go to Work Orders and click + New Work Order in the top-right corner.

Enter a title and description

Give the work order a short, action-oriented title (for example, “Replace AHU-2 belt”) and a description with any details the assignee needs.

Set priority and type

Choose a priority (Critical, High, Medium, Low, or None) and a type (Corrective, Preventive, Inspection, Emergency, Project, Tenant Request, or Internal Request). See Statuses and Priorities for guidance on choosing each.

Set the due date (optional)

Pick a due date if the work is time-bound. Work orders without a due date do not appear on the Calendar view until one is set.

Link the asset and location

Select the asset the work applies to and the location where it will be performed. Linking an asset builds its maintenance history — see Assets.

Choose a category and assignees

Pick a category (for example, HVAC or Plumbing) and add assignees — one or more users, one or more Teams, or a mix of both.

Attach a procedure and set estimated hours

Optionally attach a procedure/checklist from Procedures and enter estimated hours for time tracking.

Add attachments and create

Upload photos or files, then click Create. The work order starts in Open status, or Assigned if you added assignees.

If you create the same kind of work order repeatedly, save it as a template. See Work Order Templates.

Other ways to create work orders

Technicians can create work orders in the field from the mobile app. Tap + on the Work Orders tab, fill in the same fields as the web form, and attach photos directly from the camera. Mobile creation works offline; the work order syncs when connectivity returns.

Creating a work order from the mobile app in the field

Describe the problem to LAYLA AI in plain language on web, mobile, or by voice — for example, “Create a high priority work order for the leaking pipe in Building A restroom.” LAYLA extracts the title, priority, asset, and location, then creates the work order for you to confirm.
Scan a QR code posted on equipment or in a common area to open a prefilled work order template with the asset, location, and standard details already set. You only add the specifics and submit. See Work Order Templates.
Managers can convert an approved maintenance request into a work order, carrying over its title, description, priority, category, location, and photos. See Managing Requests.
Preventive maintenance work orders are also generated automatically by PM schedules; you do not need to create those manually.
