Every asset in FacilityLane has a status that describes its current operating state. Keeping statuses accurate gives your whole team — from technicians to executives — a live picture of equipment health.

Change an asset’s status

Open the asset

Go to Assets and open the asset’s detail page. In the field, you can scan the asset’s QR code with the mobile QR scanner to open it instantly.

Select the new status

Click the status control and choose the new status from the list.

Confirm

The change takes effect immediately across lists, dashboards, and reports.

When to change status

A typical repair follows this lifecycle:
  1. Operational → Needs Repair — a fault is reported, often alongside creating a work order.
  2. Needs Repair → Under Maintenance — a technician begins work on the asset.
  3. Under Maintenance → Operational — the repair is complete and verified.
Set Out of Service when an asset fails completely, is unsafe to operate, or is removed from service. Return it to Operational only after it is back in working order.
Do not leave assets in Under Maintenance after work is finished. Stale statuses distort availability metrics and can hide equipment that genuinely needs attention.
Update status from the mobile app while you are still at the equipment — it takes seconds and keeps dashboards trustworthy.

How status feeds dashboards and reports

Asset status is used across FacilityLane’s analytics:
  • Dashboards — asset health widgets show counts of assets by status, so managers can see at a glance how many assets are down or awaiting repair.
  • Filters — the asset list can be filtered by status to build daily worklists (for example, everything in Needs Repair).
  • Reports — status history contributes to availability and downtime reporting, complementing MTBF/MTTR analytics built from work order data.
