Set estimated hours when creating a work order or any time before work starts. Estimates drive scheduling and capacity planning, and give assignees a target.Actual hours
Assignees log actual hours against the work order as they work or when they finish. Each time entry records the user, the hours, and the date, so multi-assignee work orders show who contributed what.

Cost tracking
Each work order tracks three cost figures:

Log your hours
Add your actual hours in the time tracking panel. Labor cost updates from the logged time.

Record parts used
Add the parts consumed on the job so parts cost is captured against the work order and the linked asset.

Review totals before completing
Check labor, parts, and total cost before moving the work order to Completed — costs are much easier to correct before verification and closure.
How this data feeds Reports
Time and cost data rolls up into Reports and dashboards:- Cost per asset — total maintenance spend for each asset, from every closed work order linked to it
- Estimated vs actual analysis — how accurate your estimates are, by category, team, or technician
- Labor utilization — logged hours across your workforce
- Corrective vs preventive spend — cost broken down by work order type

Work orders with no logged hours or costs appear as zero-cost work in reports, which understates real spend. Encourage technicians to log time on every job, even quick fixes.
