Work orders can be assigned to one user, several users, one or more Teams, or any combination. Assignment moves a work order from Open to Assigned and notifies everyone responsible.

Open the work order

Open the work order from any view, or assign directly in the create form when creating a work order.

Open the Assignees field

Click the Assignees field in the work order detail panel.

Select users and/or teams

Search and select individual users, teams, or both. All selections are added as assignees.

Save

Save your changes. The work order status changes to Assigned and notifications are sent.

Assigning to teams vs individuals

  • Individual users — Use when you know exactly who should do the work. Each user sees the work order in their assigned list.
  • Teams — Use when any member of a group can pick up the work (for example, the HVAC team on a given site). Every team member sees the work order.
  • Mixed — Assign a team plus a named lead when a group is responsible but one person owns the outcome.
For recurring jobs, save the assignee configuration in a work order template so it is prefilled every time.

Reassigning work

To reassign, open the Assignees field, remove the current assignees, and add new ones. The change is recorded in the activity feed, and both the removed and newly added assignees are notified.

How assignees are notified

When a work order is assigned or reassigned:
  • Mobile push notification — Assignees with the mobile app receive a push notification immediately.
  • In-app notification — The work order appears in each assignee’s notification list and assigned work queue on web and mobile.
  • Team assignments — Every member of an assigned team is notified.
Assignees also receive notifications for subsequent activity on their work orders, such as comments and status changes.
Unassigned work orders stay in Open status and are easy to miss. Filter the List view by status Open regularly to catch work that has not been assigned.
