Every PM schedule has a frequency that controls how often FacilityLane generates a preventive work order. This page explains each option and how due dates advance.

Choosing the right frequency

  • Follow the manufacturer — OEM manuals specify service intervals; deviating can void warranties. Attach the manual to the asset for reference.
  • Follow regulation — fire, elevator, and backflow inspections often have legally mandated intervals.
  • Follow criticality — inspect equipment whose failure stops operations more often than convenience assets.
  • Adjust over time — if quarterly inspections never find issues, consider semi-annual; if failures occur between monthly services, tighten to biweekly.
When in doubt, start more frequent and relax the interval once you have inspection history showing the equipment stays healthy between visits.

How last completed and next due work

Each schedule tracks two dates:
  • Last completed — when the most recent generated work order was completed.
  • Next due date — when the next preventive work order will be generated.
The cycle works like this:

The schedule comes due

On the next due date, FacilityLane generates a work order of type Preventive for the linked asset and assignees.

The work is completed

A technician completes the work order, executing the attached procedure checklist.

Dates advance

The schedule’s last completed date is stamped, and the next due date advances by the frequency. A monthly schedule completed today becomes due one month from now.

If a preventive work order is not completed by its due date, it shows as overdue in the PM calendar and table views until it is finished.
Overdue PMs compound quickly on short frequencies — a daily check left for a week is seven missed inspections. Review overdue PMs in the calendar every morning and reassign work when technicians are unavailable.
