The Users page is where Admins manage everyone in the organization: sending invites, changing roles, scoping access to locations, and disabling accounts.

Invite a user

Open Users

Go to Users in the left navigation.

Select Invite User

Enter the person’s email address.

Assign a role

Choose a built-in role (Admin, Manager, Supervisor, Technician, Tenant, Vendor) or a custom role.

Set the location scope

Choose Global (all locations) or select specific locations.

Send the invite

The user shows as pending until they accept the email link and set their password.

Change a user’s role

  1. Open the user from the Users list.
  2. Select a new role from the role selector.
  3. Save. The change takes effect the next time the user loads the app.

Roles control what a user can do per module (read, create, edit, delete). Review the permission details in Roles and permissions before promoting a user.

Set the location scope

Location scope controls which data a user can see, independent of their role:
  • Global — the user can access records at every location in the organization.
  • Specific locations — the user only sees work orders, assets, inventory, and requests tied to the selected locations.
To change it, open the user, adjust the Location Scope selection, and save.
Combine a Technician role with a specific-location scope for field staff, so they only see the sites they service. See Locations for how locations are structured.

Disable and activate users

Disable a user to immediately block their access without deleting their history:
  1. Open Users and locate the person.
  2. Select Disable from the row actions.
  3. The user can no longer log in to this organization. Their name remains on past work orders, comments, and logs.
To restore access, select Activate on the disabled user.

Before disabling a user, reassign their open work orders and remove them from team leadership roles so nothing is left waiting on an inactive account.

Frequently asked questions

Yes. A single account can be invited to multiple organizations. After login, the user picks a workspace — see Account setup.
They stay assigned and visible. Disabling only blocks login; reassign work manually as needed.
An Admin can reset a user’s password from their user record. The user must set a new password on their next login. See Security and 2FA.
