Assets Overview

Assets are the physical items your team maintains — buildings, HVAC units, production equipment, vehicles, and any component in between. FacilityLane stores each asset’s identifying details, location, warranty information, and complete maintenance history in one place, so anyone on your team can find what they need before starting a job.

The asset list

Open Assets from the main navigation to see every asset in your organization. The list shows key columns such as asset number, name, status, category, location, and site. Use the search bar and filters to narrow the list by status, category, site, or location. From the list you can:

• Click any asset to open its detail page.
• Filter by status to find equipment that is Needs Repair or Out of Service.
• Start a bulk CSV import to add many assets at once.
• Create a new asset with the New Asset button.

The asset detail page

The detail page brings together everything FacilityLane knows about an asset:

• Details — asset number, name, serial number, category and subcategory, manufacturer, model, purchase date, and warranty expiry.
• Location — the site and location where the asset lives, plus its parent asset in the hierarchy.
• Status — the current asset status, which you can change at any time.
• QR code — a scannable code you can print and attach to the physical asset. See QR Codes and Barcodes.
• Maintenance history — all work orders linked to the asset, so you can review past repairs and preventive work.
• Attachments — manuals, photos, and other files uploaded to the asset.
• Vendor — the vendor associated with the asset for service or procurement.
